The FedEx Brexit Checklist How to prepare your business for BrexitBrexit is expected to havesignificant implications for logistics across the UK and EU.FedEx Express is well positioned to support your cross-border shipping needs today and in the future. Trade is our business, and we’re well prepared to take on the future of global trade, whatever changes it may hold. Our systems are able to support any additional data that may be required after Brexit, and will be updated as needed. While no one can predict with certainty what will change, we want to help our customers plan ahead. This simple guide details the steps you can be taking now to help get your business ready for Brexit.IntroductionWith the post-Brexit relationship between the United Kingdom and the EU remaining uncertain, we are prepared for a number of potential outcomes. Two of these are an agreed Withdrawal Deal, with a transition period until the end of 2020 (or longer if extended) or No Deal.• Withdrawal Agreement (Deal): A Transition Agreement will be in place from the point the UK leaves the EU until the end of 2020 (or longer if extended), during which UK businesses will be able to import and export under existing arrangements, free of tariffs. After this period, it is envisaged that the terms of a yet to be negotiated trade deal will come into effect. These could include the introduction of new duties, customs declarations and documentation. • No Deal: With no Withdrawal Agreement in place, the UK will leave the EU on 31 October 2019* and World Trade Organisation (WTO) rules will apply. Goods will be subject to customs clearance and inspections, while tariffs are expected to be imposed on goods that the UK sends to EU countries and on goods EU countries send to the UK.How Brexit could affect your businessChecklist: How to prepare for BrexitClick on each number for more detailsLearn what a No Deal could mean to your businessRegister for a UK and EU EORI number Agree Incoterms with your customers Know how to describe and classify your goods Know how to complete commercial invoices and apply for licences and certificates Submit your commercial invoice electronically Understand customs & clearance requirementsMake sure your receivers/importers know about potential changesUK importers should consider setting up a Deferment AccountTalk to us12345678109The UK Government has advised exporters and importers that they should understand what the likely changes to customs and excise procedures will be to their businesses if there is No Deal. This means the UK would leave the European Union (EU)immediately on 31 October 2019*, with no agreements in place about what their trading relationship would be like in future. Imports and exports will be subject to WTO rules.Get to know current rules and regulations concerning exports to countries outside the EU, many of which could apply after Brexit. We advise all customers to familiarise themselves with the No Deal planning notices, please see here (UK Government technical papers on preparing for a No Deal Brexit) or here (European Commission preparedness notices). Please also review our ‘No Deal need-to-know’ guide here .You can find information about FedEx’s preparations here .1Learn what a No Deal couldmean to your business12345678910Different countries have different business cultures and languages. It’s a good idea to make sure you have a clear written contract to minimise the risk of misunderstandings. The Incoterms rules or International Commercial Terms are a series of pre-defined commercial terms widely used in international commercial transactions. These include:•Where the goods will be delivered •Who arranges and pays for the transport•Who is responsible for insuring the goods and who pays the insurance premium •Who handles customs procedures and who pays duties and taxes In the event of a No Deal Brexit, Incoterms will be an important piece of information on the commercial invoice. We advise all customers to understand Incoterms and agree them now.For more information visit here .3Agree Incoterms with your customers123456789104Know how to describe and classify your goodsHS CodesThe Harmonized System (commonly known asthe HS code), is a list of numbers used to classify a product for taxes and duties and any necessary restrictions. A Harmonized System (HS) code consists of at least six digits. When you have classified your goods, customs authorities all over the world are able to identify the contents of your package. The system is used by more than 200 countries and covers 98% of traded goods. You can classify your goods on your country’s government website. You can also use an online HS code search – just type in a detailed goods description and you’ll get your code.If you don’t include the HS code on the commercial invoice and other shipping documents, it could delay the shipment and you risk the receiver paying the incorrect duties and VAT.Description of goodsThe key to smooth shipping is providing clear andaccurate information on every shipping document. This includes detailing the type of goods you’reshipping correctly. For example, instead of just‘clothing’ put ‘men’s T-shirts 80% cotton, 20%polyester’. And don’t just use company productcodes to describe the goods. If the package containsbranded items, include the brand name as well asthe model number and description.Origin of goodsYou will have to confirm the origin of goods, including all components or ingredients which makeup your product. Where your products were originallymanufactured may be different from the country theshipment is being sent from. Remember that somegoods may originate from countries subjectto special safeguards or anti-dumping duties.Value of goodsState the true value of the shipment. This shouldbe the market price of the goods, along with thecurrency. If the value doesn’t seem reasonable, customs authorities may ask you or your receiver forevidence of the value you’ve declared on the invoice. We advise all customers to understand thecorrect classification, description andvalue of your goods.UK businesses can find out more about classifyingtheir goods here. Other countries will have similarsites available for their businesses to use.12345678910In the event of a No Deal Brexit, goods traded between the UK and the EU will be subject to the same requirements as third country goods under the World Trade Organisation (WTO) rules.Every shipment will need a commercial invoice with information for customs authorities. This helps the authorities assess if the goods can move in or out ofa country and what, if any, controls are needed. It also helps the authorities determine duties and taxes. It is vital to supply an invoice with the right information as itreduces the potential for delay.5Know how to complete commercial invoices, licences and certificates123456789106Submit your commercial invoice electronicallyFedEx customers can avoid customs delays, speed updelivery and reduce paperwork by registering for ETD(Electronic Trade Documents) to submit commercialinvoices electronically at the point of preparingshipments. With FedEx ETD Post-Shipment Document Upload(PSDU), you can now upload customs documentsby your shipping solution after the label has beencreated. Arethey aware of the potential import VAT & Duty thatthey may have to pay? How are you working with yourcustomers to ensure there are no delays at the point ofimportation? Do you have all the correct details for thecompletion of export and import declarations? It is important to include your correct address, contactdetails, phone/mobile number and email details, as wellas the same information for your receiver. We advise all businesses to speak to theirreceivers/customers so they understand whatthe potential impact is for them.12345678910We understand that customers arepreparing their own plans for Brexit. If you are considering changes to yoursupply chain and are looking for expertiseand support, please talk to us.We advise all customers to contacttheir Sales Executive in the firstinstance to discuss your plans forBrexit and how we can support you.12345678910UK and European papersThe UK Government and the European Commission have both published a series of papers outlining official guidance on how to prepare if the UK leaves with no deal. For a successful and timely installation of the instrument, the site must meet these requirements before beginning installation. Necessary supplies (gases, tubing, operating supplies, consumables, and other usage-dependent items such as columns, vials, syringes, and solvents) must also be available. Note that performance verification requires the use of helium carrier gas and, for models using chemical ionization, methane reagent gas. Chapter 9User Acceptance Test9.1 O bjectiveThis is the phase where the client validates the software to find out whether the solu-tion provided is fit for their use and satisfies their business needs. After successful testing of each software component by the consultants themselves, it is handed over to the client for acceptance testing. Bugs/defects detected during acceptance testing are to be rectified accordingly before obtaining the certificate of acceptance from the client. The client provides the acceptance test plan and test cases for testing. The purpose of this phase is to support client business users in performing their ac-ceptance test of the new enterprise resource planning (ERP) application system. The acceptance test is performed in the user acceptance testing (UAT) instance. This task also involves scheduling the acceptance test team, support staff, and user facilities. The amount of acceptance testing is dependent on the specific acceptance criteria defined in the Unified Project Plan. The scope of the acceptance testing may change if client business users are participating substantially in the system and integration testing activities. The tests are successful if they meet the acceptance criteria. Ideally, the accep-tance criteria should match what the users think the system should do; however, the acceptance test should only be validated against predefined acceptance criteria, and not against what the users wish the new system would do.The results of the acceptance test in the test report for the acceptance test should be recorded and communicated. This report should ideally contain:1. Summary (including statistics) of successes of tests organized by the process.2. Actions and assignments relating to changes to procedures and policies.3. Highlights, action plan, assignment, and schedule for completion of critical fail-ure in code.4. Summary of repeating select business systems tests based on these changes.5. Completed test scripts as an appendix.6. A list of open technical issues that have been communicated to ERP support through a third assessment report (TAR).123 K. Ganesh et al., Enterprise Resource Planning, Management for Professionals,DOI 10.1007/978-3-319-05927-3_9, © Springer International Publishing Switzerland 20141249 User Acceptance TestThe acceptance test verifies that the new application system includes all of the re-quired functionality. It is to be noted that the consultants should not perform the acceptance test as it is ultimately the organization that must verify, through their testing efforts, that the new system meets the predefined acceptance criteria.A successful acceptance test requires dedicated resources for conducting the ac-ceptance test. Schedule the test far in advance so that managers will allow users the time off to perform their acceptance test (Table 9.1).The consultants must also perform one or more dry runs with the UAT scripts before the business users start performing the tests for a better system performance and reduce issue resolution time (Fig. 9.1).9.2 I mplementation Schedule—UAT9.3 P rerequisite• Project management planThe Project Management Plan provides an overall strategy of testing for the project and an approach for acceptance of the test results.• Integration-tested systemOnce the system’s integration test is complete, the acceptance test begins.• Skilled usersUsers receive training on the new system before they perform the acceptance test. The system and database administrators who know how to support the sys-tem, as well as designers who can provide functional and technical support for the tests, should also receive training.• UAT environmentThe UAT environment needs to be fully configured and ready for the testers to begin their acceptance test. This includes platforms, software, test data, anddocumentation.1259.4 D etail Activities 9.4 D etail Activities 9.4.1U AT StrategyThe UAT strategy will consist of a detailed UAT execution plan. In this plan, de-termine the module-wise timeline when the UAT would be conducted and identify the business users who actually perform the UAT. Identified business users will prepare the test script and test cases for UAT. It is advisable to conduct UAT after month-end or quarter-end closing, as business users are normally tied up with regu-lar month-end and quarter-end close activities during this period. Once the strategy is formulated, the same should be discussed in the steering committee meeting to get approval from the client side. The approved UAT strategy document will be the baseline for the execution of UAT (Table 9.2).9.4.2 P repare UAT EnvironmentA separate instance should be created for UAT and this instance should have all the software required for conducting UAT. All the business users, who will perform UAT, should have the required client machine software (e.g., Application Develop-ment Interface (ADI) Initiator, etc.) in their respective desktops. Business users will create the business scenario and test cases for UAT. Test cases and test plan should be exhaustive enough so that all the functionalities of the system can be tested dur-ing UAT (Table 9.3).Fig. 9.1 Business flow diagramProcess User acceptance testing Ref no Task1Prepare user acceptance testing plan (client activity)2Approve UAT strategy documentTable 9.2 Processes for user acceptance testing1269 User Acceptance Test9.4.3 C onduct UATBusiness users will perform UAT and the consulting organization will provide all the necessary support in conducting the UAT. If any bug is identified, it will be fixed and simultaneously the setup document/technical design document and pro-gram will be updated accordingly. Configuration management procedure should be strictly adhered to for any changes in the setup document/technical design docu-ment. An UAT summary report is to be prepared to consolidate the results of UAT. Finally, when all the components are passed through UAT, the formal UAT sign-off certificate should be collected from the client (Table 9.4–9.6).9.5 D eliverables9.6 D ecision Matrix/Checklist 9.7C ritical Success Factors• A separate UAT instance is created and the entire required patch set is applied.• Business users create UAT script before start of integration testing so that all the test scripts get tested at the time of integration testing.• The same business users, who will conduct UAT, should create the UAT test script/test cases.Process User acceptance testing Ref no.Task1Create business scenario (client activity)2Create UAT data for testing transaction 3Prepare UAT environment/instance 4Prepare UAT test cases and test planTable 9.3 Processes for the preparation of UAT environmentProcess User acceptance testing Ref no.Task1Perform test against test cases2Update/modify ERP application setup and custom programs3Update/modify set-up document and custom compo-nent design document 4User acceptance sign offTable 9.4 Processes for conducting UAT1279.7 C ritical Success Factors• All the business users should be fully available in the whole period of UAT so that UAT can be completed as per schedule.• Business users training should be conducted before UAT and needs to ensure that business users are quite confident in using the ERP application.Table 9.6 Major activities, checkpoint, and weightage Major activities Checkpoint WeightageConduct UATIs the UAT execution complete?Has the UAT summary report been prepared and accepted by the client?Has open technical issues/bugs referred to ERP support and entered in issue/TAR log?Has the acceptance certificate been signed off by client?Table 9.5 Deliverable, template ID, and responsibility Sl of the deliverable Template ID ResponsibilityMajorAssisted1UAT environment Consulting organization Client 2UAT test plan and test cases Consulting organization Client 3UAT summary report Consulting organization Client 4Acceptance certificate Consulting organizationClient。
