Unit 15 Complaints and Claims【Unit objectives】Upon completing this unit, you will be able to write effective letters about complaint or claim. To achieve this goal, you should be able to1) write letters of complaints or claims tactfully.2) write replies to justified complaints or claims.3) write replies to unjustified complaints or claims.【Background information】In international business, mistakes, problems and disputes may occur without exception. The seller may send the wrong goods to the buyer; the quality or quantity of the goods may be found unsatisfactory or short; damage or loss may occur in transit; or shipment may be effected later than the specified time. All these problems may result in complaints and claims.The purpose of writing a letter of complaint or claim is to get better service or reasonable compensation instead of accusing or offending the other party. Accusations or offence does not work, and instead they may make the problem more difficult to handle. Thus a complaint or claim letter should be written in a restrained and tactful way.Every complaint or claim, no matter how trivial it seems, is important to the person who makes it. It therefore requires a prompt answer or acknowledgement. The answer should be factual, courteous and fair.If a claim is justified, you should admit it readily, and express your apologies and state what actions you are taking to put the matter right.But sometimes a complaint may be unjustified. In this case, you should point it out politely and in an agreeable way by presenting facts and relevant information to convince him or her of your position. The key is not to make the customer feel that he is considered over-demanding in making his request, but to assure him or her that his or her complaint has been seriously considered.【Tips for writing effective complaints or claims】★Be courteous yet firm.
