Business Letter StylesModified Block Style: With this business letter format, the body of the letter is left justified and single-spaced. The date and closing, however, are in alignment in the center of the page.Block Style: when using this business letter format, the entire letter is left justified and single-spaced except for a double space between paragraphs.Semiblock Style: similar to the modified block business letter style except that each paragraph is indented instead of left justified.Indentation FormatsBusiness letters generally conform to one of four indentation formats: Block,Semi-Block, Modified Block, and Modified Semi-Block. Put simply, "Semi-" means that the first lines of paragraphs are indented缩进; "Modified" means that the sender's address, date, and closing are significantly indented.BlockIn a Block format letter, (1) all text is aligned 对齐到to the left margin, (2) paragraphs are not indented. 3) parts and paragraphs are separated by double or triple spacing.Semi-BlockIn a Semi-Block format letter, (1) all text is aligned to the left margin, (2) paragraphs are indented. The author's address, date, and closing are usually indented three inches from the left margin, but can be set anywhere to the right of the middle of the page, as long as all three elements are indented to the same position.Modified Semi-BlockIn a Modified Semi-Block format letter, (1) all text is aligned to the left margin, except for the author's address, date, and closing; and (2) paragraphs are indented. When writing a business letter, be sure to include all components:The Heading: common with every business letter format, the heading contains your address and the date of writing.The Inside Address: included the name of the addressee, that person抯title or office, the name of the company or institution, and the full addressThe Salutation招呼: the formal greeting appears two lines lower than the inside address.The Body:use the body of your letter to explain the situation and to make your request or response. Make sure it is done in a straightforward and concise manner.The Complimentary 问候的Close:the complimentary close is inserted three lines below the last line of the body. The most common formulas are: Sincerely, Sincerely yours, Yours truly, Yours sincerely.Your Typed Name: in all business letters, there are usually four lines between the complimentary close and the typed name as you intend to sign it.Your Signature: always use blue or black ink. Match your signature and your typed name. Special Notation标注:lowest on the page, always flush left. Includes common notations to indicate: carbon copies,enclosed documents, etc...。

比如,当一家公司向另一家公司订购某种商品时,习惯的做法是在正式成交之前用书面的形式加以确认。
另外,在许多情况下,如果你只用口头形式来传达信息就会显得很不正式,也很没有礼貌。
比如,当你想要邀请某人在一个非常重要的场合做演讲时,口头的通知或邀请都会显得你没有诚意。
这时人们往往会想到用书信的形式来邀请对方,这样做就得体多了。
由此可见人类在沟通情感以及进行生意往来时,都是需要书信作桥梁的。
一封信是由信头、日期、编号、收信人情况、称呼、正文、主题、结束语、写信人签名、姓名和职位等几个主要部分构成的。
