Type 2 Memos, Agenda & Minutes of a Meeting

A memorandum is an informal document usually short and on a single subject calling attention to or reminding the recipient of something important. It serves as an exchanging of information between departments within a business or official agency or between agencies for the following purposes:

1)To give information;

2)To request information;

3)To request action;

4)To put forward suggestions

The format of a memorandum is diagramed as follows:

Attention:

1. The element “Date ” may appear in different places.

2. Sometimes “Subject ” is replaced by “Reference ”.

When it appears in the form of a letter, a memo usually includes

--- Heading (Addresser ’s Name, Address, Phone No., Telegram No., Telex No., etc.). If this is already inscribed on the top of the stationary, it begins with

--- Date,

--- Addressee ’s Name, Title, Address

--- Subject [1]

--- Salutation

--- Body

--- Complimentary Close

--- Signature

Attention: Subject should be centered when it appears below the salutation.

Sometimes a memo may include information about distribution list, copy notation (C. C.) or even enclosure. The format then is like this:

Features

An acceptable memo(randum) should

--- include Title line, specifying the receiver, the sender, the subject and the date;

--- tell information related to the company, from sales to bowling team;

--- place the major information in the first paragraph, then needed detail and if necessary required action or response from the audience;

--- usually not be so formal;

--- keep record or require action (that is, the receiver should keep a copy);

--- follow the standardized format: single space, block format; double space between paragraphs, triple space before the body.

Activity 2

Directions: Suppose you are the office director. Please write a memo to remind heads of departments of certain arrangements during Managing Director’s absence. Your memo should include the following points given in Chinese:

Step 1 Specify your purposes.

Consider why you have to write the memo. Which of the following is the reason?

--- You require an action. Maybe you want to confirm the date of your holiday.

--- You write to confirm an action. For example, a memo written on the 25th recording the submission of a report due the end of the month indicates you have done the job as required.

--- You write to summarize the results of a committee meeting.

--- You write to announce a department meeting.

Step 2 Prepare the Title Line.

Put down the title line first to direct your attention to the audience. Specify your subject with a few words. Answer these four questions:

--- To whom is the memo intended?

--- From where does the memo come? From you or your department?

--- What is the subject of the memo? State it in a few words.

--- What is the complete date for issuing the memo?

Follow one of the following formats:

Step 3 Plan the information.

Organize your thought. Plan the information as such:

--- Paragraph 1 to reveal your major purpose. Use one or two sentences to summarize the major points.

--- Paragraph 2 to provide details: For a new policy, consider how it will relate to the audience; If you are calling for suggestions, make clear why you need them. Ask yourself why the audience need to respond.

--- Paragraph 3, if necessary, to call for action or response. Make clear how to make certain diagram if you require the audience to do it, or specify the addressee and the deadline if you require written suggestions from the audience.

Step 4 Write the memo.

Follow your design in writing the memo. Use precise language and simple sentences. Be direct and informal.

Read your memo and ask yourself

--- Is the title line clear and precise? Is the date spelt complete and correct?

--- Can my audience understand the information intended?

--- Are there enough details to support the main idea? Does the explanation sound reasonable?

--- Have I included in the memo the deadline, specific instructions, name and address concerned? --- Are my sentences simple and clear?

--- Are the expressions colloquial or affected?

Sign your initials beside your name in the title line.

Examine your writing for possible errors in spelling, grammar, usage and other techinical issues.

大学英语课程改革的问题与对策 经济全球化的发展日益加快,英语作为国际通用语言,在国际交往中的作用日益凸显,《国家中长期教育改革和发展规划纲要(2010—2020)》提出,要扩大教育开放,开展多层次、宽领域的教育交流与合作,提高我国教育国际化的水平。在这一理念下,高校国际化进程步伐明显加大,首先把大学英语定位在为高等教育国际化服务上。在课程设置上,主要表现在提供用英语讲授的国际化课程,帮助学生适应英语授课、英语学术交流、英语商务和工作交流。《大学英语课程教学要求》(简称《课程要求》)提出各高等学校应根据实际情况,按照《课程要求》和本校的大学英语教学目标,发挥主动性和创造性,设计各自的大学英语课程体系。[1]这意味着大学英语课程改革已成必然趋势,大学英语作为基础课程的功能将渐渐退出历史舞台,我们进入了后大学英语时代。然而,处在这个转型时期的大学英语,无论在课程设置、课程内容、还是师资队伍建设方面都存在突出的矛盾与问题,本研究对大学英语的困境做一些分析,提出基于复合人才理念的大学英语课程改革路径构思,以求共勉。 一、大学英语课程改革的问题 (一)教学目标及教学内容的变化与师资素质之间的矛盾 后大学英语时代的教学目标、教学内容、教学实施和教

学评价等都将发生变化。在我国国际交往日益频繁的情况下,社会对大学毕业生的外语应用能力,尤其是以听、说为主的国际交流能力的需求日益增强。大学生对大学英语学习存在着一种普遍的懈怠情况;他们中许多人对于我们的英语教学不很满意;他们毕业后的英语不能满足社会和工作的需要。[2]5由此可见,大学英语通用课程的教学与学习者及社会的需求联系不紧密,难以维系基础英语的课程地位。在这种需求变化的形势下,课程目标不能再停留在“打基础”上,而是培养学生使用英语的能力。[2]8因此,有学者倡导从通用英语到专门英语的全面转向,“专门用途英语教学将成为21世纪的英语教学的主流”。[3]与之相呼应,《课程要求》提出“各高等学校将综合英语类、语言技能类、语言应用类、语言文化类和专业英语类等必修课程和选修课程有机结合,确保不同层次的学生在英语应用能力方面得到充分的训练和提高”。[1]为了顺应形势的变化,各高校纷纷对大学英语课程设置和教学进行改革,相继曾设语言应用类、语言文化类和专业英语类课程。然而,课程设置的增加和变化,意味着教学内容和教学方法的变化,对师资的素质要求也随之发生变化。由于后续课程的主要目标为提高英语应用能力,开设的课程内容具有学科性的特征,要求教师以学科内容为核心,用目标语来进行某门学科知识的教学。教学内容的变化对教师知识结构产生巨大的挑战。原来可以从容应对听、说、

“大学英语”课程教学改革实施方案(草案) 根据我院大学英语课教学现状和英语等级考试需要,结合学生实际需求,特制定本方案。 一、指导思想 以提高学生英语应用能力为目标,以英语等级考试为基础,全面调整大学英语课程教学,建立科学合理的大学英语教学管理和考核机制,更好地适应社会需求。 二、教学改革目标 总体目标是:以提高英语等级考试合格率为核心,体现“学、考、用”的教学理念,通过有针对性地把英语等级考试知识要点与大学英语课教学的有机结合,进一步提高教师的教学效率和学生的应用英语技能,同时形成有效监督考核机制。 三、具体内容及步骤 (一)教学内容设计 根据教学改革的目标要求,对现有教学内容进行重新设计,大幅度增加英语等级考试知识点的教学内容,其所占全部教学内容的比重不低于50%;注重在教学中实时引入等级考试的知识点,并进行有针对性地讲解。 (二)教材及课时分配 为适应教学内容的变化和要求,对教材进行重新选编,原则上要求英语教研室组织教师编写新教材,在新教材投入使用前仍可使用现有教材,但必须根据英语等级考试的要求对教学内容进行必要取舍。 为了提高等级考试通过率,每学期在考前安排一周左右的时间进行考前强化训练;该强化训练周以综合练习周的形式确定。除计划内正常教学班级外,凡未通过等级考试的学生均可插班到现有强化训练班实时听课。

(三)考试 在教学内容与英语等级考试全面挂钩的条件下,取消校内学期末英语考试,以每年2次的英语等级考试成绩作为学期考试成绩。已经通过英语等级考试的学生则无需重复参加此类考试。 已经通过英语等级考试的学生原则上可以不参加大学英语课的学习。 (四)考核评定 1. 学生 原则上,学生参加英语等级考试成绩合格,即被认为大学英语课程考核合格。一次考试不合格的,仍可以继续参加多次考试;如果学生在校期间经多次考试不合格的,则该学生所修大学英语课程不及格。 大学英语课程不参加学院学期补考和毕业清考。 2. 教师 大学英语课授课教师必须严格按照本课程改革实施方案组织课堂教学,并以学生英语等级考试成绩作为对其教学成效的基本考核依据,实行奖惩(最终折算成课时)。 所授课班级学生英语等级考试平均分达到全省同类高职平均分的,即被认为合格,课时奖全额发放。 所授课班级学生英语等级考试平均分未达到全省同类高职平均分的,即被认为不合格,课时奖按比例发放。低于全省平均分5分的(不足5分以5分计算),学期课时奖按90%发放;低于全省平均分10分的(5分以上10分以下均以10分计算),学期课时奖按80%发放;低于全省平均分10分以上的,学期课时奖均按70%发放。 所授课班级学生英语等级考试平均分超过全省同类高职平均分的,课时奖实行奖励发放。超过全省平均分5分的(不足5分以5分计算),学期课时奖按120%发放;超过全省平均分10分的(5分以上10分以下均以10分计算),学期课时奖按150%发放;超过全省平均分10分以上的,学期课时奖均按180%发放。 本方案自2014~2015学年第一学期开始实行。
