摘要:随着经济全球化、贸易全球化的深入发展,英语在商务业务中的应用更加广泛。商务英语写作能力作为书写商务信函的必要能力,越来越被外贸从业人员所重视。商务英语写作中的7c原则是贯穿其中的指导性原则。本文针对商务英语写作7c原则中的准确性原则展开论述,阐述何为准确性、准确性在商务英语写作中的重要性,同时提出如何做到准确书写信函的建议。力图通过此篇论文,使读者了解准确性原则、掌握准确性原则在商务英语写作中的应用方法。Abstract: With the development of economic globalization and globalization of trade, English is more widely used in business. As a necessary ability to write business letters, Business English writing ability is increasingly valued by foreign trade practitioners. The criteria of seven “Cs” are the guiding principles that run through. The author of this paper tried to talk aboutwhat is correctness ,what is the importance of correctness, and puts forward advice on how to achieve correctness. This paper aims to make readers understand the correctness and the application of correctness in business English writing.

一·引言:商务英语信函在外贸业务中被广泛应用,掌握商务英语写作7c原则能够与外商建立良好的沟通与磋商。7c原则包括有清楚性、完整性、准确性、简洁性、具体性、礼貌性、体谅性,其中本文讨论的准确性能够通过实现语法、用词、称呼、信息等方面的准确,使得良好的公司形象得以树立,保证商务活动的顺利进行,从而在激烈的商务竞争中掌握先机。本文将界定准确性,阐述准确性的重要意义并提出做到准确性的方法。

二·何为7c原则以及准确性的要求

最初,美国哲学家Grice于1975年从形式逻辑和自然语言逻辑之间的差别

出发,提出了人类会话一条指导性原则-“合作原则”(The Coorperative Principle)。他从“数量准则,质量准则,关联准则和方式准则”这四个范畴说明了“说什么”和“怎么说”的问题。“正是交谈者之间的这种合作使得他们能够持续的进行有意义的言语交际”(何兆熊,1987)。

随后,1983年,在吸收了Grice研究结果的基础上,Leech在《语用学原则》(Principles of Pragmatics)一书中系统的提出了“礼貌原则”理论。认为礼貌原则应该包含策略,大方,赞誉,谦虚,一致和同情这六条准则。1984年Bobby D.Sorrels在《Business Communication Fundamentals》一书中总结了6个C 的原则,即:“简洁,准确,清楚,文采,体谅及连贯”。在此基础上,国内的学者也对其进行了补充和完善。其中最具代表性的是陈桂峰在《外贸英语函电写作中存在的误区及其对策》(2002)中指出了“清楚,简洁,正确,礼貌,完整和会话语调”这六项原则,指出了要会使用委婉语,避免使用大词,通过对写作总

体,准确”这是现在在外贸函电的写作中人们常用的七项基本原则,它综合了各方面的说法,从一个更为广泛的角度去解释商务信函写作应遵循的原则。[1]由此,形成了如今的7c原则。

准确性是商业英语信函写作中重要的原则。首先,准确原则应保证单词拼写、标点符号无误,语法使用、结构格式正确;其次还应确保信函所涉及的信息、数字、事实准确无误;[2]最后还应注意称呼、书信格式等方面与读者身份相符合。[3]

三·违反准确性在商务信函与商务活动中的体现

1.违反“准确性”在商务信函语法方面的体现

可以看出此句中“is”用法错误,should引导的句子be动词应该用原型,此处为商务信函书写中的语法错误。给人带来一种执笔者英语水平不高,写信态度不端正,业务水平较低的不良印象。

2.违反“准确性”在商务信函语义方面的体现

由此可看出,措辞会影响表达的意思。Exactly说法过于绝对,产品的质量势必会有所差别,很难保证一模一样,如此一说将造成商务贸易上有关

产品质量的纠纷。选择不合适的词语将造成范围扩大或缩小,造成歧义,给对方的阅读造成困难,带来困惑。严重的将带来成本损失、信誉折损。

3.违反“准确性”在商务信函标点方面的体现

可见,标点位置的准确将很大程度上作用于句子的意思,形成完全不同的语义。

在商务信函写作中,有许多需要应用商务名词术语的情况,如果用错,会给人专业素养低的印象。

四·违反“准确性”在信息数据方面的体现

在阐述准确性原则的重要意义之前,先让我们回忆一次金融史上的乌龙指,2005年12月8日阳光明媚。日本瑞穗证券公司的一名经纪人在交易时出现重大操作失误,引发投资者恐慌并导致证券类股票遭遇重挫,东京证券交易所陷入一片混乱这个错误发生在当天上午开盘后不久。穗证券公司一名经纪人接到一位客户的委托,要求以61万日元(约合4.19万人民币)的价格卖出1股J-Com公司的股票。然而,这名交易员却犯了个致命的错误,他把指令输成了以1 日元的价格卖出61万股。这条错误指令在9时30分发出后,J-Com公司的股票价格便快速下跌。等到瑞穗证券公司意识到这一错误,55万股股票的交易手续已经完成。为了挽回错误,瑞穗发出了大规模买入的指令,这又带动J-Com股票出现快速上升,到8日收盘时已经涨到了77。2 万日元(约合人民币5。3万元)。回购股票的行动使瑞穗蒙受了至少270亿日元(约合18。5亿人民币)的损失。[4]可见,一个数字的失误违反了准确性原则,其结果是惨痛的。由此可见,实现商务的准确性,能够避免酿成巨大的经济财产损失乃至无法挽回的失误。

无独有偶,高盛伦敦分行,交易员将million打成billion,3百万的卖盘就成了30亿[4]。这些都是商务业务中,忽视了准确性的鲜活例证。虽然,商务信函中准确性方面的失误可能不会带来如此重大的经济财产损失,

但是其时间成本、机会成本的损失是不可忽视的。此外,一旦出现错误,无论是语法用词上的纰漏还是信息称呼上的错误,都给对方带来“非专业“、”不信任“的恶性印象,将不利于个人业务的实现、商务活动的顺利进行,影响着企业在激烈的商务环境中的竞争。

五·贯穿准确性原则在商务中的重要意义

因此,我们可以总结出,在书写商务信函中,做到商务英语写作的准确性要求的意义主要有如下几个方面:

1.表现出对对方的尊重与重视。运用无误的语法、词汇,保证信息的完整准确,都体现笔者对于工作的重视、对对方的尊重,从而取得对方公司的信赖。

2.节约时间成本、创造更多机会。在信息提供上违反准确性是致命的,正如上面的两个例子展现的那样,将带来不可挽回的损失,大大浪费了金钱、时间。而这种浪费,在激烈的商务竞争中势必会使得公司处于不利的地位。相反,做到准确性将大大节省时间成本,创造更多机会,收获巨大效益。

3.展现良好的个人业务水平、维护公司良好的信誉形象。做到准确性,于个人层面,能够向对方展现出自己是一个细心、可靠的工作人员,拥有着良好的业务能力,能够处理好工作任务。于公司层面,能够节约公司的各项成本,向对方展现本公司的专业性,维护良好的公司信誉形象。如此而来,将取得对方的青睐。

六·如何在商务信函的书写中实现“准确性”

1.语法、用词、固定术语方面:

①认真核实拼写;

②细心选择恰当的短语和句型;

③使用正确的标点符号;

④注意在合适正确的地方断句,避免歧义的产生;

⑤反复考究语法,遇到不把握的语法点建议换种更直白简洁的表达,实现让他人明白自己的意思,绝不追求句子的复杂性。注意名称、数、时态等细节,展现自己的专业性;

⑥理解并掌握专有名词、专有短语的运用,增强自我学科素养,提高财经英语水平。

2.称呼、习惯、职位方面:

①如果不是特别确定如何称呼某人,或者正确拼写对方的名字,或者在名词、题目、产品名、特征表达方面不是很有把握,可以询问身边有经验的人或者多多查阅资料,保证准确。

②了解对方所处地区习惯的说话方式、称谓习惯,尽量选择他人习惯的表达方式,避免商务合作中的不愉快现象的产生。

③注意工作、职位头衔不可使用,除非放于人名之后再加逗号。一般情况下,欧美国家习惯用个人、学术、政治、社会头衔。具体情况具体分析,衡量自己与对方的亲密程度,对方的习惯等方面,选择准确的称谓,调整行文的语气。

3.选择准确的商务写作类型方面:

商务英语写作有许多格式,要根据不同的需求选择正确的格式与类型:意向书(proposals);报告(reports);会议记录(minutes);书信(letters);传真(faxes);语音邮件(voicemails);邮件(e-mails);备忘录(memos);摘记(notes)[5]

4.传达准确的信息、数据方面:

信息、数据作为准确性的核心层面,应当投以足够的重视,做到下笔时端正态度、认真求实;完成时多次核对、避免出错。切忌刚刚完成书写就马上发出,应当多次校阅无误后予以发送。牢记错误在商务活动中的代价是巨大的。避免出现信息的错误或者时间的延迟,以给人不专业的不良印象。

结语:商务英语写作在商务活动中具有法律性,同时也代表着一个公司的形象[5]。7c原则中的“准确性”对个人业务水平的展现、公司形象的维护、成本的节省、错误的避免有着重大的意义,因此要求外语外贸从业人员等群体平时注重基本功的训练,具有严谨细致的从业态度,完成稿件以后应当多次校阅保证准确。

(第三部分).我们在上文中已经提到过,商务信函写作地最主要目地就是沟通和交流.收信人或许每天都要看很多地信函,一封冗长、拖沓、空洞、开头就不得要领地信函第一眼看到会让人感到厌烦,从而对写信人地印象大打折扣. 1、第一部分(Why do you write the letter?):在信函地一开头就要目地明确、简明扼要告诉读信者为什么要写这封信,如: 例(1):I am replying to your letter of April 15 asking us to clear our March payment. 这样地开头直接告诉对方写信是为了回复对方4月15日让己方对三月份地订货付款地来信.这样可以使得读信人立刻知道写信地意图,在读信地时候可以有充分地心理准备,或者把注意力集中在问题地重点上.不会因为一些无关紧要地寒暄而分散注意力. 在这方面,我们最应该注意地就是避免中国式地寒暄和问候,不要为了追求客气而落入俗套. 例(2):It was a long time since I saw you in Qing Dao 3 months ago. 这样地信函开头不仅罗嗦、冗长,而且会给收信人一种错觉:这是一封朋友之间相互问候地私人信件.因而将它搁置一边,待自己较为空闲时再看,很可能会因为延迟阅读而给双方带来无可弥补地损失. 2、第二部分(What’s the detailed reason?):即商务信函地征文,叙述事实或者理由来支持信里地第一句.会显出你郑重其事、思想缜密.把所要列举地事实或者理由合并成最重要地一点或者两点,在不影响清楚准确地基础上越简洁越好.如:

By March 1999 both shares were worth about $100. AOL shares then shot up, almost doubling in value within four weeks. They reached a high of $180 in mid-April before collapsing to just over $100 per share at the beginning of May. There was a slight recovery during that month however, despite this by June 1999 the price of AOL shares was once again about $100. In contrast, despite minor fluctuations, IBM shares made a steady recovery over the three month period, finishing at just over $100, almost equal to AOL.

商务英语写作的原则和注意的要点 写作商务信函并不要求您使用华丽优美的词句。您需要做的就是,用简单朴实的语言,准确的表达自己的意思,让对方可以非常清楚的了解您想说什么。一般地,商务信函有以下几个方面的写作原则: 1 礼貌体谅原则(consideration) 2 体谅原则(consideration) 3 完整原则(completeness) 在信函写作中,信息完整很关键,所以商务信函中应包括所有必需的信息。 4 清楚原则(clarity) 5 具体原则(concreteness) 6 正确原则(correctness) 做到这几个原则应该主意一下几点: 一、谨慎选用极易混淆的词语 英译商务合同时,常常由于选同不当而寻致词不达意或者意思模棱两可,有时甚至表达的是完全不同的含义。因此了解与掌握极易混淆的词语的区别是极为重要的,是提高英译质量的关键因素之一,现把常用且易混淆的七对词语,用典型实例论述如下。 1、shipping advice 与 shipping instructions shipping advice 是“装运通知”,是由出口商(卖主)发给进口商(买主)的。然而 shipping instructions 则是“装运须知”,是进口商(买主)发给出口商(卖主)的。另外要注意区分 vendor(卖主)与 vendee(买主),consignor(发货人)与 consignee(收货人)。上述这三对词语在英译时、极易发生笔误。 2、abide by 与 comply with abide by 与 comply with 都有“遵守”的意思.但是当主语是“人”时,英译“遵守”须用 abide by。当主语是非人称时,则用 comply with 英译“遵守”。 双方都应遵守/双方的一切活动都应遵守合同规定。 Both parties Shall abide by/All the activities of both parties shall comply with the contractual stipulations.
