Guideline Microsoft Project must be used to create all work plans. Excel and other tools cannot be used Tools to create work plans. All new work plans that are created must use one of the approved work plan templates as a starting point. The columns in the templates must be used however the tasks that are preTools populated in the partially pre-populated templates can be modified as required. The goal should be to have tasks that do not exceed 8 hours in work particularly those tasks Tasks that impact the critical path. Tasks The goal should be that tasks for the next phase of work not exceed one month in duration . Create a work plan that spans the lifecycle of your project however at a minimum break out Tasks into detail those tasks for the work associated with your next phase. Planning assumptions and risks are documented and reviewed in status meetings. These should Tasks be documented outside Microsoft Project. Tasks Add dependencies/predecessors to tasks when they are needed. If a task has a required deliverable associated with it, list it as a milestone after the Tasks associated task. Tasks Contingency is shown as its own section at the end of the work plan. Tasks Include required stakeholder review and sign-off tasks. Tasks Monitor progress of tasks and identify how to help 'catch-up' a task that is behind schedule. Resources When possible one resource is assigned per task (Resource Names field). Resources Only put resources at the detailed task level (no resources listed at the Summary level). Resource should only be booked for the amount of time they have per day to dedicate to the Resources project. Account for vacation time and other time when the resource will not be working in the resource Resources loading. Resources Set-up project calendars for each work location (on-shore/off-shore). Groups impacted by the work plan should participate in creating the work plan as needed and Resources agree on the plan before it is baselined. When managing your work plan do not forget that you have 3 constraints you must balance: features, schedule, resources. You control only two at a time and your stakeholders control the 3rd therefore understanding and communicating the impact of changing any of these areas is General critical to the success of your project. General Baseline your work plan once you have received agreement on it by the groups impacted by it. Dependencies External dependencies are shown in their own section in the work plan. Dependencies Track critical path and leverage total slack as needed to meet milestones. Dates Planned Start date defined per task (Baseline Start field). Dates Planned End date defined per task (Baseline Finish field). Dates Actual Start date shown per task if work has started (Start field). Dates Actual End date shown per task if work has finished (Finish field).
