英文通知书写要求(一)

通知是上级对下级、组织对成员或平行单位之间部署工作、传达事情或召开会议等所使用的应用文。通知的写法有两种,一种是以布告形式贴出,把事情通知有关人员,如学生、观众等,通常不用称呼;另一种是以书信的形式,发给有关人员,这种通知写作形式同普通书信,只要写明通知的具体内容即可。通知要求言简意赅、措辞得当、时间及时。

例一:布告形式的通知:通常此类通知上方正中写Notice或NOTICE(通知),发出通知的单位的具体名称可放在正文前,也可放在正文后,右下角处,发出通知的日期写在左下角处。例如:

英文通知的基本写作技巧(二)

通知(notice)是上级对下级、组织对成员布置工作、传达情况或告诉公众某种事情等时使用的一种应用文体,通常分为口头通知和书面通知两种。

1. 口头通知是面对面地把信息传达给对方。这种通知开头应有称呼语,正式场合用Ladies and gentlemen(女士们、先生们), 有时也可以用Boys and girls或Comrades and friends(同志们、朋友们)等。开头还常有提醒听众注意的开场白, 如Attention, please.或May I have your attention, please?或I have an announcement to make.等;结尾常说That' all. Thank you.或Thank you(for listening).等, 以示礼貌。

口头通知无需说明发布通知的日期和发布通知的人(单位)。

2. 书面通知格式的写法有点类似于书信的写法。其格式为:

通知是传达将要做的事,因此,写通知多用一般现在时和将来时态。书写通知的正文时,语言应简洁明了,把通知的对象、事由、时间、地点、内容有条理地说清楚即可。简单地说,就是"某人(单位)某时在某地干某事,加上注意事项"即可。当然,必须注意句子之间的安排,使之符合逻辑,条理清楚。

写通知的一些常用句子:

1. May I have/call your attention, please? 请注意啦!

2. Attention, please, everybody! 大家请注意啦!

3. I have an announcement to make. 我要宣布一个通知。

4. I have something to tell you. 我有事情要告诉你们。

5. I have some good news for you! 我有好消息要告诉你们。

6. There will be a talk this afternoon. 今天下午有一个报告。

7. The Student Union has decided that... 学生会决定……

8. We shall have a lecture on... 我们将要听一个关于……的报告。

9. It has been decided that we'll pay a visit to... 我们已决定要参观……

10. Please take your notebook with you. 请随身带着笔记本。

11. We'll gather at the school gate at eight tomorrow.我们明天八点在校门口集合。

12. Please be there on time and don't be late. 请准时到达那儿,不要迟到。

13. I hope you can have a good time. 我希望你们能过得愉快。

英文启示的书写要求

启事是为了公开说明某事而刊登或张贴的文字。启事的种类繁多,内容广泛,常见的有招领、寻物、征集、迁移、展览等。

启事的一般写法是:

1. 标题要在正文上面中间用大写字母写出。

2. 另起一行,空格后开始写正文。

3. 落款写在右下方,一般是启事单位的名称或启事人的姓名。

下面举例介绍"寻物启事"与"失物招领启事":

商务英文电子邮件的书写要点

现在这个社会,很多人不喜欢写信,而喜欢用E-mail, 商务上使用E-mail联系更是普遍。外企和国企不同的是,外企对E-mail特别重视,公司内部往来的信件都会明确的分类,有些是urgent,有些的priority 值比较低,这样有利于向上司汇报重要信息,也节省大部分的时间。E-mail如此重要,书写的方式就要求规范了,不能像平时我们和朋友,家人间的E-mail往来那么随意,因为即使你觉得不那么重要,万一哪天领导要查看信件,如果是苛刻点的领导,你就糗大了。网络俚语,像LOL, BTW那肯定是不能用了。一些俏皮的smiley 图标也别用。E-mail的书写很简单,采取左对齐,单边行距的文档格式。段落之间double-space. 具体,我列出以下几个注意点。

1. Address the recipient by Full Name. Use gender-Neutral language.

对收信者要称呼对方的全名。使用中性的语言。如果关系不是那么亲密,用Mr., Mz., Dr会比较好。

2. Write a specific, not general, topic in the subject box.

在Subject一栏里要把主题写的明确,不要大众化。不然,很有可能紧急的信件被划到垃圾信件里。那,事情就大条了。

3. Start your e-mail with a sentence that tells what your message is about.

首句就直截了当的告诉对方这封E-mail讲的是什么事。简单,明确。

4. Put the details of your message in the second paragraph.

第二段落是细节的部分。你可以把收信人不了解的信息,或可能遗忘的信息放在第二段。

5. Be clear, concise, and specific. Avoid overly long sentences.

信件简明,扼要。你要知道对着电脑屏幕一行行的看字,不像看本书,是很伤眼睛的。所以,为了他人着想,尽量写的言简意赅吧。实在E-mail不得不长,分段处用Headings。

6. Never write in all capital letters or all lower-case letters.

之所以用大写是为了引起别人的重视,如果全用大写字母,不是招人烦么。全用小写字母也是不当的。这样,会给人一种不尊重,偷懒的感觉。

7. Be cautious about what you say in a business e-mail.

记住,你的E-mail, 可能被人forward给其他人看。万事要小心,别把一些谣言,玩笑话写在E-mail里。甚至轻易泄漏你的银行卡号,信用卡密码。

8. Check your e-mail and any attachments to make sure your message is clear, your tone is pro, and your spelling, grammar and punctuation are correct.

一封E-mail写完了,别忘记查看附件有没有上传好。你的语气是不是够专业,Grammar和spelling可以交给word来做。唉,这点是我最伤心的,回了国之后老打错字,被骂了好几回,就为了我不自己校对好就呈给领导看(抄都容易抄错,不活了)。在国外的时候都是请最最亲爱的word来帮我完成的。

9. At the end of your message, before your full name and position, use a commonly accepted complimentary closing.

在E-mail收尾的部分,别忘了加上你的全名和结束语,像Sincerely, Cordially, or Regards.

电子邮件Email的邮件格式

1、信头(Heading)

指发信人的姓名(单位名称)、地址和日期,一般写在信纸的右上角。一般公函或商业信函的信纸上都印有单位或公司的名称、地址、电话号码等,因此就只需在信头下面的右边写上写信日期就可以了。

英文地址的写法与中文完全不同,地址的名称按从小到大的顺序:第一行写门牌号码和街名;第二行写县、市、省、州、邮编、国名;然后再写日期。标点符号一般在每一行的末尾都不用,但在每一行的之间,该用的还要用,例如在写日期的时候。

日期的写法,如1997年7月30日,英文为:July 30,1997(最为普遍);July 30th,1997;30th July,1997等。1997不可写成97。

2、信内地址(Inside Address)

在一般的社交信中,信内收信人的地址通常省略,但是在公务信函中不能。将收信人的姓名、地址等写在信头日期下方的左角上,要求与对信头的要求一样,不必再写日期。

3、称呼(Salutation)

是写信人对收信人的称呼用语。位置在信内地址下方一、二行的地方,从该行的顶格写起,在称呼后面一般用逗号(英国式),也可以用冒号(美国式)。

(1)写给亲人、亲戚和关系密切的朋友时,用Dear或My dear再加上表示亲属关系的称呼或直称其名(这里指名字,不是姓氏)。例如:My dear father,Dear Tom等。

(2)写给公务上的信函用Dear Madam,Dear Sir或Gentleman(Gentlemen)。注意:Dear 纯属公务上往来的客气形式。Gentlemen总是以复数形式出现,前不加Dear,是Dear Sir的复数形式。

(3)写给收信人的信,也可用头衔、职位、职称、学位等再加姓氏或姓氏和名字。例如:Dear Prof. Tim Scales, Dear Dr.John Smith。

4、正文(Body of the Letter)

位置在下面称呼语隔一行,是信的核心部分。因此要求正文层次分明、简单易懂。和中文信不同的是,正文中一般不用Hello!(你好!)

正文有缩进式和齐头式两种。每段书信第一行的第一个字母稍微向右缩进些,通常以五个字母为宜,每段第二行从左面顶格写起,这就是缩进式。

但美国人写信各段落往往不用缩进式,用齐头式,即每一行都从左面顶格写起。商务信件大都采用齐头式的写法。

5、结束语(Complimentary Close)

在正文下面的一、二行处,从信纸的中间偏右处开始,第一个词开头要大写,句末用逗号。不同的对象,结束语的写法也不同。

(1)写给家人、亲戚,用Your loving grandfather,Lovingly yours,Lovingly等;

(2)写给熟人、朋友,用Yours cordially,Yours affectionately等;(来源:英语麦当劳https://www.doczj.com/doc/9c9456662.html,)

(3)写业务信函用Truely yours(Yours truely),Faithfully yours(Yours faithfully)等;(4)对上级、长辈用Yours obediently(Obediently yours),Yours respectfully(Respectfully yours)等。

6、签名(Signature)

低于结束语一至二行,从信纸中间偏右的地方开始,在结束语的正下方,在签完名字的下面还要有用打字机打出的名字,以便识别。职务、职称可打在名字的下面。当然,写给亲朋好友的信,就不必再打了。

7、附言(Postscript)

一封信写完了,突然又想起遗漏的事情,这时用P.S.表示,再写上遗漏的话即可,要长话短说。通常在信末签名下面几行的左方,应于正文齐头。

注意:在正式的信函中,应避免使用附言。

8、附件(Enclosure)

信件如果有附件,可在信纸的左下角,注上Encl:或Enc:,例如:Encl:2 photos(内附两张照片)。如果附件不止一项,应写成Encl:或Encs。

我们有时可看到在称呼与正文之间有Re:或Subject:(事由)字样。一般在信纸的中间,也可与“称呼”对齐。还应在底下加横线,以引起读信人的注意,使收信人便于在读信之前就可了解信中的主要内容。事由一般在公务信函中使用,也可以省略

英文便笺的的写法——请假条、约会条、电话留言条

便笺(Short Note)属于英文信函的一种,实际是一种简短信函,形式比一般书信简单,大多使用非正式语体。便笺经常用于熟识的朋友、同事之间,因而临时性强,内容简短,格式简便。写便笺时需要写清以下内容:时间、人名及事由。

从格式上来讲,便笺的称呼和结尾谦称部分是比较随意的,可以直接写上对方以及自己的名字,省略类似于Mr., Dear, Sincerely yours等礼貌用语。时间的写法也相对较随意,写星期几或者月日都是可以接受的,同时还可以具体到几点钟。

便笺的内容一般是涉及请假、预约、通知、访友不遇留言、接电话留言等等,下面我们列举一些例子供大家参考。

1.请假条

请假条可由别人代写,也可由请假人自己写。无论采取何种形式,其内容必须包括请假事由和期限,必要时还需附上医生的诊断或其他的可以证明请假事由的书面材料。
